This Privacy Policy governs the manner in which SmartlyQ collects, uses, maintains, and discloses information collected from users (each, a "User") of the SmartlyQ website ("Site") and related services. This privacy policy applies to the Site and all products and services offered by SmartlyQ.
We may collect personal identification information from Users in a variety of ways, including, but not limited to, when Users visit our site, register on the site, and in connection with other activities, services, features, or resources we make available on our Site. Users may be asked for, as appropriate, their name, email address, mailing address, and phone number. Users may, however, visit our Site anonymously.
We will collect personal identification information from Users only if they voluntarily submit such information to us. Users can always refuse to supply personally identifiable information, except that it may prevent them from engaging in certain Site-related activities.
We may collect non-personal identification information about Users whenever they interact with our Site. Non-personal identification information may include the browser name, the type of computer, and technical information about Users’ means of connection to our Site, such as the operating system, Internet service providers utilized, and other similar information.
Our Site may use "cookies" to enhance the User experience. The User’s web browser places cookies on their hard drive for record-keeping purposes and sometimes to track information about them.

To send periodic emails: We may use the email address to send User information and updates pertaining to their order. It may also be used to respond to inquiries, questions, and/or other requests.
SmartlyQ uses third-party AI providers (OpenAI, Anthropic, Google) via their APIs to generate content and insights. We do not use your data - including any data accessed through Google APIs (such as Google Ads or Google Analytics) - to develop, train, fine-tune, or improve any generalized or third-party AI/ML models. Such data is processed only transiently to provide the specific features you request, in accordance with the Google API Services User Data Policy, including its Limited Use requirements. References to "training" an AI assistant or chatbot mean building a private knowledge base from your own content for retrieval - not training any AI model.
SmartlyQ’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We only request access to the minimum Google user data necessary to provide our services.
Google user data is never sold, shared, or used for advertising purposes.
Access to Google data is strictly limited to providing or improving the user-facing features requested by the User.
These Limited Use commitments govern our handling of Google user data and prevail over any more general statement elsewhere in this Privacy Policy. We do not use Google user data to send marketing or promotional emails, for advertising, or for any purpose unrelated to the features you request.
We do not use Google user data to develop, improve, or train any generalized or non‑personalized machine‑learning or AI models. Google user data is processed only to provide the user‑facing features you request; Google Calendar and Google Meet content is never sent to any AI model.
SmartlyQ uses Google OAuth to allow Users to connect their Google account and upload videos directly to their YouTube channels.
Scopes Requested: SmartlyQ requests the following scopes:
youtube.upload – to upload videos to the User’s YouTube channel.
openid, email, profile – to authenticate the User and identify their account.
Purpose: These scopes are used solely to enable Users to authenticate securely and upload video content from within SmartlyQ.
Data Handling: Uploaded video files and metadata are transferred securely to YouTube. SmartlyQ does not sell, share, or use this data for advertising.
Token Storage: OAuth tokens may be stored securely for authentication purposes, but only to maintain the User’s connection. These tokens can be revoked by the User at any time through their Google Account permissions page.
Deletion: Users may request deletion of stored OAuth tokens and associated data by contacting support@smartlyq.com. All related information will be permanently deleted within 30 days.
Data we access: When you connect your Canva account, you authorize SmartlyQ to create and export designs in Canva on your behalf and to read your basic Canva profile (to display which account is connected). We request only the minimum Canva permissions needed to provide this feature.
Content storage: Images you export from a Canva design are downloaded and stored in your SmartlyQ media library so you can attach them to your posts. We do not access or store any other Canva content.
Token storage: Your Canva OAuth tokens are stored securely and used only to maintain your connection and perform the actions you request.
Revoking access and data deletion: You can disconnect Canva at any time from your SmartlyQ integration settings. When you disconnect, we revoke your token with Canva and permanently delete the stored tokens for that account. You may also revoke SmartlyQ's access from your Canva account settings.
Deletion: Users may request deletion of stored Canva data by contacting support@smartlyq.com. All related information will be permanently deleted within 30 days.
SmartlyQ offers an optional integration with Zoom so that meetings can be automatically created for your bookings. This integration is only active if you choose to connect your Zoom account.
Data we access. When you connect Zoom, you authorize SmartlyQ (through our scheduling service at calendar.smartlyq.com) to act on your behalf using Zoom's API. We request only the minimum scopes needed to manage meetings for your bookings:
Create, view, update, and delete meetings in your Zoom account — used to generate a Zoom meeting when a booking is confirmed, update it when a booking is rescheduled, and remove it when a booking is cancelled.
Basic profile information (your name and the email associated with the Zoom account) — used solely to identify the connected account.
We do not access, record, store, or process the contents of your Zoom meetings (audio, video, chat, recordings, or transcripts).
How OAuth tokens are handled. Your Zoom OAuth access and refresh tokens are stored encrypted at rest in our database and transmitted only over TLS 1.2 or higher. They are used exclusively to create and manage the meetings tied to your bookings, and are never written to logs or shared with any third party.
Revoking access and data deletion. You can disconnect Zoom at any time by removing the Zoom app from your SmartlyQ calendar settings, or by revoking SmartlyQ from your Zoom account at the Zoom App Marketplace. When you disconnect — or if you uninstall the app from Zoom — we permanently delete the stored Zoom OAuth tokens for that account. SmartlyQ also handles Zoom's app_deauthorized and meeting.deauthorized notifications to ensure your tokens are removed when access is revoked from the Zoom side.
Our use of information received from Zoom APIs adheres to the Zoom API License and Terms of Use, including any limitations on use and disclosure.
We retain Google user data only for as long as it is required to provide our services and fulfill the purposes described in this Privacy Policy.
Temporary storage: Some Google user data may be cached or stored temporarily in order to deliver requested functionality (e.g., displaying account information or uploading videos).
No long-term retention: Unless explicitly required for service functionality, SmartlyQ does not permanently store Google user data.
User control: You may revoke SmartlyQ’s access to your Google account at any time via the Google Security Settings page.
Data deletion requests: You may request complete deletion of your data by contacting us at support@smartlyq.com. All associated Google user data will be permanently deleted from our systems within 30 days of your request.
Depending on your location (including under the EU/UK GDPR and the CCPA/CPRA), you have the following rights regarding your personal information:
Right of access — request a copy of the personal data we hold about you.
Right to rectification — ask us to correct inaccurate or incomplete data.
Right to erasure ("right to be forgotten") — request deletion of your personal data.
Right to restrict processing — ask us to limit how we use your data.
Right to object — object to the processing of your data.
Right to data portability — receive your data in a structured, commonly used, machine‑readable format, or have it transferred to another provider where technically feasible.
Right to withdraw consent — where processing is based on consent (such as connecting a third‑party account like Zoom or Google), you may withdraw it at any time by disconnecting the integration or contacting us.
Right to lodge a complaint — you may complain to your local data protection authority.
How to exercise your rights. To exercise any of these rights, email us at support@smartlyq.com. We will respond within the timeframe required by applicable law (within 30 days under the GDPR, extendable where permitted). We may need to verify your identity before fulfilling your request. You will not be charged or discriminated against for exercising these rights.
We adopt appropriate data collection, storage, and processing practices and security measures to protect against unauthorized access, alteration, disclosure, or destruction of your personal information, username, password, transaction information, and data stored on our Site.
We do not sell, trade, or rent Users’ personal identification information to others. We may share generic aggregated demographic information not linked to any personal identification information regarding visitors and users with our business partners and trusted affiliates for the limited purposes outlined above. We never share Google user data with advertisers or any third party for their own purposes.
Users may find advertising or other content on our Site that links to the sites and services of our partners, suppliers, advertisers, sponsors, licensors, and other third parties.
We do not control the content or links that appear on these sites and are not responsible for the practices employed by websites linked to or from our Site. In addition, these sites or services, including their content and links, may be constantly changing.
These sites and services may have their own privacy policies and customer service policies. Browsing and interaction on any other website, including websites that link to our Site, is subject to that website's own terms and policies.
SmartlyQ has the discretion to update this privacy policy at any time. When we do, we will revise the updated date at the bottom of this page. We encourage Users to frequently check this page for any changes to stay informed about how we are helping to protect the personal information we collect.
